PRIVACY POLICY

• Your Discord and Roblox accounts: IDs, usernames, server roles and group rank, once you sign in or use a bot.
• What you submit: reports, essays, wiki edits, ballots, tickets, applications, posts and any attachments, for the purpose of that form.
• Academy examinations: screen, camera and microphone, only during an exam you have entered and been told is recorded. The recordings are used only to review that exam and are heard only by the examiners. Nobody under 13 sits a recorded exam.
• Store orders: name, email and shipping address. Payment goes through Stripe; we never see your card.
• Standard security logs: like every website, our servers log visits and sign-ins (for example IP address, browser, approximate location and time) to keep the sites safe.
• Cookies only to keep you signed in.

No advertising or tracking cookies, no device fingerprinting, no passwords, and we never sell data.

• Legitimate interest (GDPR Art. 6(1)(f)): running the community, keeping ranks and records accurate, handling misconduct, and keeping the sites secure, including keeping banned accounts out.
• Consent (Art. 6(1)(a)): where a page tells you plainly that continuing means agreeing to something specific, such as an examination recording or a background check. You can decline by not continuing.
• Contract (Art. 6(1)(b)): store orders, and systems you choose to take part in (ranks, elections, examinations).

• Security logs are seen only by the site operator. They are never shown to members or staff and never published.
• Background checks, intelligence filings and disciplinary records are seen only by the offices that need them.
• Service providers that help run the sites: hosting and security, Discord and Roblox sign-in, the store (Stripe, Printful, Printify), AI and voice features (OpenAI, Anthropic, ElevenLabs) and email (Google). Some are outside the EU/EEA and use the safeguards EU rules require.

• Security logs: up to 12 months, or longer only while a ban or an investigation needs them.
• Rank and membership records: while you are part of the community.
• Disciplinary and intelligence records: while they remain relevant to standing or safety.
• Examination recordings: 90 days, so results can be appealed, then deleted. A recording is kept longer only while an appeal or a cheating case about that exam is open.
• Store orders: as long as bookkeeping rules require.

You can ask to see what we hold about you, get a copy, have it corrected or deleted, or restrict or object to how it is used. Write to jernrichterian@gmail.com, or to the operator through the Discord server you use. We answer within one month. You can also complain to your country's data protection authority.

Our sites are for people aged 13 and over, the same age Discord requires. Nothing here lowers the age limits Roblox and Discord set.

No site in the Universe asks for a password: sign-in goes through Discord, Roblox or a one-time code sent to your own Discord messages. Sensitive records are encrypted at rest and limited to the people who need them. If you find a security problem, report it instead of using it.

When this policy changes, the date at the top changes too. Material changes are announced where the community would expect to see them.
